Just like a face-to-face group, uMeet provides a regular place to meet online. A place where your service users can log in and take part in scheduled support meetings.

Its easy to schedule as many meetings as you like, and everyone will be able to see what meetings are coming up in advance. Meeting rooms are opened by a trained facilitator before service users can enter them. Just like its real-world equivalent, this ensures a safe and trusted environment for your service users.

Peer to peer support sessions can also be scheduled if you need to run unfacilitated meeting rooms, in this case having a facilitator present is optional.

uMeet includes a Messageboard where users and facilitators can post, comment and read messages. This is a great resource to use in between meetings to keep users actively involved and build trust. It allows users to express themselves and communicate with each other in a trusted environment.

Facilitators and administrators can review messages to check content, lock comments on messages and all the usual functionality that we expect from a normal messageboard.

In our experience a recurring problem for support staff is the need for detailed communication and handover between one meeting and the next. Not everyone is always at the same meeting, but they need to know what might have happened, if there were changes, incidents, or something that they should be aware of.

So we’ve created an easy to use Meeting Notebook. Your support personnel can leave a descriptive entry about the meeting in the notebook, and use keyword or key-phrase tags to highlight important points, allowing others to easily find common issues.

The Meeting Notebook can be searched by tag or date. Our tag cloud on the right of the screen shows a list of common tags. Tags appear larger the more they are used, highlighting important common issues.

Knowing exactly what was said in any meeting is important. uMeet records the full conversation for every meeting, word for word, so even if you weren’t there you can still know exactly what was said. This is an excellent feature for security, training and research reasons.

Of course you can turn recording off for any meeting that you feel you don’t need a transcript for with a single click.

The complete history of transcripts is always readily available and really easy to search through by date, keyword tags or meeting room. Plus, because uMeet is web-based, you can get to them from any computer wherever you are.

The inbuilt rota that comes with uMeet is a really handy way of scheduling staff members or volunteers due to facilitate or supervise meetings.

You can search by person, tag or date. The tag cloud on the right of the screen shows a list of who is scheduled for when, the more meetings they are scheduled for the bigger their name appears!

Keeping in touch with your users outside of the meeting room is important too. It’s easy to set up meeting reminders that will email your support group in advance of their meeting, so everyone is sure to know when to turn up.

You can also post notices for logged in users through our announcements system. You can pick what area you’d like these notices to appear in and also what user groups can see the notice. Notices can be anything from a welcome message to information about a guest speaker, or a feature tip for your staff.

These issues have been our primary focus in developing uMeet. We have dedicated long hours to ensure that best-practice within the support-group is supported by intuitive software and well thought out policy decisions.

All data and user information is well protected through SSL security, the same security that online banks use. This means that everything you do on uMeet is safely encrypted from prying eyes.
